Add a customer manually when someone contacts your team outside the normal booking flow and you want to save their details for future use. This can help your team recognise the customer later, apply tags, and keep notes in one place.
Manual customer creation is available from the Customers page.
Before you add a customer
Check whether the customer already exists. Search by phone number, email, or name before creating a new profile.
This matters because returning-caller recognition depends on matching the caller's phone number to an active customer profile. If the same person is saved more than once with different phone formats, your team may need to check multiple profiles later.
Open the Add Customer sheet
From Customers, select Add Customer. If your customer list is empty, you may also see Add Your First Customer.
The sheet is titled Add Customer and explains that you can Create a customer and assign tags.
Customer fields
The form includes:
| Field | Required? | Notes |
|---|---|---|
| First Name | Yes | Used with last name to display the customer |
| Last Name | Yes | Required before the customer can be added |
| No | Must be a valid email format if entered | |
| Phone | No | Uses phone number formatting based on the selected location where available |
| Customer Tags | No | Lets you assign existing tags or create a new one while adding the customer |
The Add Customer button stays unavailable until the required name fields are filled in. If the email does not look valid, Speako asks you to enter a valid email address.
Adding tags during creation
Use Add Tag in the Customer Tags section if you already know how the customer should be grouped. You can select existing tags or create a new customer tag from the tag selector.
Tags are optional. If you are unsure, add the customer first and tag them later from the customer list or profile.
💡 Tip: Use tags for business meaning, not temporary notes. For example, VIP, Regular, or Lead works better than a one-off reminder that belongs in customer notes.
After adding the customer
When the customer is added, Speako closes the sheet and refreshes the customer list. The new profile can then be opened from the list for more edits, notes, or tags.
If adding fails, check the message shown in the dashboard. The most common issues are missing first or last name, an invalid email address, or contact details that need a cleaner format.
