How the AI Books an Appointment

Once your AI receptionist has confirmed that an appointment slot is available, it guides the caller through providing the remaining details to complete the booking.

Information the AI collects

To book a service appointment, the AI typically needs:

  1. Service — what they want booked. The caller may name the service, or the AI may ask. For businesses with many services, the AI narrows down based on what the caller describes.
  2. Date and time — either requested by the caller or presented as available options.
  3. Staff member — if the caller has a preference, or if your configuration requires a specific assignment.
  4. Customer name — to record the booking under.
  5. Customer phone number — used for confirmation and future recognition. Often pre-filled from the calling number.

For returning customers, some of this information may already be on file, making the booking faster.

Confirming the appointment

Before finalising, the AI reads back the key details:

  • Service name
  • Date and time
  • Staff member (if applicable)

The caller can confirm or correct before the booking is saved.

What gets created in the dashboard

Once confirmed, the appointment appears in your booking calendar immediately with:

  • Customer name and phone number
  • Service name and duration
  • Assigned staff member
  • Date and time
  • Source (Voice AI)
  • Any notes from the call

SMS confirmation

If the Send Booking Link AI tool is enabled, the AI can send the customer an SMS with a link to view and manage their booking. This is especially useful for appointments where customers need a reminder with the date, time, and staff member.

Multiple services in one call

The AI handles one booking at a time per call. If a customer wants to book multiple appointments (e.g. two different services on different days), they may need to call back or book the second appointment through the online booking page.

💡 Tip: Make sure your service names are clear and searchable. If a service is called "P&T" internally, rename it to "Pedicure and Toenail Treatment" or something a customer would naturally say on a phone call. The AI matches what it hears to your service names.
