Scheduling When the AI Answers

Instead of manually turning Voice AI on and off each day, you can set a schedule that tells the AI which hours and days it should actively answer calls. This is useful if you want the AI to handle calls only during certain windows — for example, outside of your normal staffed hours, or only during peak periods.

Where to find the schedule

  1. Go to Dashboard → Settings.
  2. On the Voice AI Agent card, click the Schedule button.
  3. A schedule panel opens where you can configure when the AI answers.

Schedule modes

The Voice AI schedule has two modes:

Always Active The AI answers all calls, any time of day, any day of the week, as long as the Voice AI toggle is on. This is the default if no schedule is configured.

Scheduled Mode The AI only answers calls during the time windows you specify. Outside those windows, it behaves as if Voice AI is off.

Setting up a schedule

In Scheduled Mode, you configure which days and time slots the AI should be active:

  1. Select each day you want the AI to answer calls.
  2. Add one or more time windows for that day (e.g. 9:00 am – 6:00 pm).
  3. Repeat for each day as needed.
  4. Save the schedule.

The schedule card on the Settings page will summarise your configuration:

  • Always Active — no time restrictions.
  • Active Mon–Fri — active only on weekdays (if you've set windows for all five days with no weekend days).
  • Scheduled Mode — a custom combination of days and times.

How schedule interacts with operating hours

The Voice AI schedule and your location's operating hours are separate but work together:

  • Operating hours define when your business is open (and thus when bookings can be made within those hours).
  • Voice AI schedule controls when the AI actually answers calls.

If you want the AI to answer after-hours calls (e.g. to take bookings for the next day), keep the AI active during those hours. The AI's after-hours behaviour (whether it takes bookings or just offers information) is controlled separately in your AI configuration.

💡 Tip: A common setup is to have Voice AI active 24/7 or at least during evenings and weekends — the times most staff-run businesses miss calls. This way, customers can always reach the AI even when your team isn't available.

⚠️ Important: The schedule only applies when the Voice AI toggle is on. If you've toggled Voice AI off, the schedule has no effect — the AI won't answer calls regardless of schedule.

Timezone for the schedule

The Voice AI schedule respects your location's configured timezone. Make sure your timezone is correctly set on the location detail page to ensure the schedule fires at the right local times.
