Terms & Conditions Setup

The Policies tab on your booking page is where you configure the terms, rules, and notices that customers see when making a booking. These are not separate linked documents — they are text sections rendered directly on the booking page.

Where to find it

Go to Booking Page → Policies for your AI receptionist.

The Policies tab contains five separate text sections, each for a different type of policy:

Policy sections

Large Party Notes Guidance for customers booking large groups. This is a good place to note if parties over a certain size need to call ahead, pay a deposit, or have other requirements.

Example: "For parties larger than 10 guests, please contact us directly before booking online."

Management Notes Notes from management shown on the booking page. Use this for any general notices — seasonal information, service changes, or specific house rules.

Venue Policy What customers should know about being at your venue. This might include dress code, arrival time expectations, accessibility information, or rules specific to your type of business.

Example: "Please arrive at least 5 minutes before your appointment. Late arrivals may result in a shortened service."

Marketing Policy Your communication and marketing preferences — how you use customer data for promotional purposes, or what customers are consenting to by booking.

Cancellation Policy The most commonly referenced section: when and how customers can cancel, and any associated fees or notice requirements.

Example: "Cancellations made less than 24 hours before your booking may incur a cancellation fee. Please call us to cancel."

How to add or edit policy text

  1. Go to Booking Page → Policies.
  2. Click into the text area for the section you want to fill in.
  3. Type your policy content. The editor supports basic rich text formatting.
  4. Repeat for each section you want to populate.
  5. Click Save Changes in the floating bar at the bottom to apply all changes.

Sections you leave blank will not be shown to customers — only populated sections appear on the live booking page.

💡 Tip: The Cancellation Policy section is the one customers look for most often. Make it clear, specific, and easy to understand. Avoid legal jargon — write it as you would explain it over the phone.

⚠️ Important: If you need customers to formally agree to legal terms and conditions (e.g. for deposit agreements or liability waivers), these text fields are informational display sections, not legally binding consent capture. Consult a legal professional if you need formal consent mechanisms.

Saving changes

All policy sections save together when you click Save Changes in the floating bar.
