Knowledge processing statuses tell you what is happening after you upload a file, import a URL, or sync information from Speako. They help you understand whether the content is ready, still being prepared, or needs attention.
Statuses on knowledge items
You may see these labels:

| Not Added | No content has been added yet |
| Configured | Content exists, but may not be published |
| Published | The content has been published for the agent to use |
| Uploading... | A file or source is being submitted |
| Preparing... | Speako is getting the content ready |
| Processing... | Speako is working through the submitted source |
| Analyzing... | Speako is reading and interpreting the content |
| Finalizing... | Speako is finishing the setup |
| Failed | The content could not be processed |
The status appears on the knowledge card or row, depending on where you are in the Knowledge Base.
What to do while processing
Processing can take time, especially for larger files or detailed webpages. Wait for the status to finish before reviewing or publishing the content.
If you leave and come back, Speako restores recent processing and failed states so you can see what happened.
If processing fails
A failed card shows the error message and gives you two options:
- Retry โ opens the add sheet again so you can try another file, URL, or source
- Dismiss โ clears the failed message from the card
Retry is best when the source was wrong or temporary processing failed. Dismiss is useful when you no longer want to add that knowledge item.
๐ก Tip: If a file keeps failing, try simplifying it. Remove unrelated pages, split a large document into a smaller file, or use Write Manually for the most important content.
After processing succeeds
Once the item is configured, review it with Preview. Processing prepares the content, but review is still important before you rely on it for customer answers.
If the processed content looks correct, decide whether it needs to be published now or saved for later review. For urgent changes, such as a policy update or changed promotion, do not leave the item configured but unpublished.
