File upload is useful when your business information already exists in a document, spreadsheet, menu, or policy file. Speako can process supported files and turn them into knowledge your AI agent can use.

Supported file types

When a knowledge item supports file upload, the Add [Knowledge Name] sheet shows Upload File.

Supported formats are:

  • PDF
  • DOCX
  • XLSX
  • CSV

The file size limit is 30MB. If the selected file is larger than that, Speako shows File too large with the file size and the maximum allowed size.

Upload a file

Go to AI Agent โ†’ Knowledge Base โ†’ All Knowledge, select Add on the knowledge item, then choose Upload File.

After you choose a file, Speako starts processing it. The card may show progress states such as Processing..., Analyzing..., or Finalizing... while the file is being prepared.

When processing succeeds, Speako shows Knowledge configured successfully and the item moves into Your Knowledge.

If processing fails

If a file cannot be processed, the card shows Failed with the error message. You can choose Retry to try again or Dismiss to clear the failed state.

Common causes include unsupported file contents, files that are too large, or files that do not contain readable text.

๐Ÿ’ก Tip: Clean source files work best. If a PDF is mostly images or a spreadsheet has many unrelated tabs, consider simplifying it before uploading.

Review after upload

After the file is configured, open the item from Your Knowledge and use Preview to review the content. If something important is missing or unclear, use Edit to adjust the text before publishing.

Uploading prepares the knowledge, but you should still review it like customer-facing content.

When to choose another method

File upload is not always the best source. If the file is messy, outdated, scanned as images, or contains information from several unrelated areas, the imported result may need heavy editing.

In those cases, use Write Manually for the most important customer answers, or split the content into smaller files before uploading. Clearer inputs usually produce clearer knowledge.
