Cancel a booking when the customer no longer needs the reservation or appointment. Cancelling changes the booking status to cancelled and removes it from the normal active booking list view.

Where to cancel

Open the booking details or the booking row in List view, then use Cancel Booking. Speako asks you to confirm because cancellation cannot be undone from that action.

The confirmation includes an option to notify the customer about the cancellation.

When cancellation is blocked

Speako does not allow every booking to be cancelled. Cancellation is blocked when:

  • the booking is already cancelled
  • the booking is completed
  • the booking cannot be found in your workspace

If cancellation fails, check the booking status and confirm you are viewing the correct location and booking.

What happens after cancellation

After cancellation, Speako updates the booking status to cancelled. It can also trigger availability regeneration for the affected date and location so the freed time can be reflected in availability.

If notification options are enabled, Speako can trigger merchant and customer cancellation notifications.

⚠️ Important: Cancelling a booking does not erase it. The booking stays in the system with a cancelled status, so you can still look it up later.

How to find cancelled bookings

List view hides cancelled bookings by default. Turn on the cancelled-booking toggle when you need to review cancellations.

When the toggle is on, List view shows only cancelled bookings. Turn it off again to return to active bookings.

Before cancelling

Confirm the customer, booking reference, date, time, and location. If the booking only needs a different time or resource, use Reschedule or Edit Booking instead of cancellation.

Common cancellation mistakes

The most common mistake is cancelling the wrong location's booking in a multi-location account. Always confirm the active location and booking reference before confirming the action.

Another common mistake is cancelling when the customer only wants a change. If the customer is still coming, reschedule or edit the booking instead. Cancellation sends a cancellation notice and marks the booking as inactive.
