Booking notification recipients determine who on your team receives merchant booking emails. Customer notifications are handled separately through the customer's contact details and the Notify Customer option.
Team recipients for merchant emails
For merchant booking emails, Speako sends notifications to team members in your workspace who are opted in to receive booking emails.
This applies to merchant emails for new bookings, modified bookings, and cancelled bookings.
Customer recipients
Customer emails use the email address saved against the booking. If that is missing, Speako checks whether the customer profile has a usable email address.
Customer notification sending still depends on the Notify Customer option for the booking action.
What if no team member is set up to receive emails?
If no team member in your workspace is opted in, booking notification emails may not reach anyone. To avoid missing notifications, make sure the right team members have the booking email option turned on for their account.
What to check when configuring recipients
Check that:
- the right team members have access to the workspace
- those team members are opted in to receive booking emails
- their primary email addresses are valid
- the booking action being tested actually completes
- customer notifications are tested separately from merchant notifications
Why this matters
Good recipient setup prevents missed bookings and reduces confusion when customers call about a change. It is especially important for businesses where the person managing the calendar is not the same person who configured the booking page or AI Agent.
Testing recipient setup
After changing recipient settings, create or modify a low-risk test booking and confirm the right team members receive the merchant notification. Test customer notifications separately by using a customer email address you can access and selecting the customer notification option.
If the team receives the merchant email but the customer does not receive anything, investigate customer contact details and the customer notification option rather than the merchant recipient setup.
