When you hire a new team member who provides services, you'll need to add them to Speako. This article walks through the process of adding new staff.

Opening the Add Staff Form

  1. Navigate to Staff in the sidebar
  2. Click the Add Staff button in the top right
  3. The Add Staff modal opens

Basic Information

Enter the staff member's details:

Name (Required)

Enter their full name as you want it displayed to customers. This is the only required field.

Phone Number (Optional)

Add their contact number. This is for internal reference and isn't shown to customers.

Email (Optional)

Add their email address. Must be a valid email format if provided.

Bio (Optional)

Write a brief description of their expertise, experience, or specializations. This can help customers choose the right staff member.

Profile Photo

You can add a profile photo in two ways:

Choose an Avatar

Select from predefined avatar images for a quick professional look.

Upload a Photo

  1. Click the upload button
  2. Select an image from your computer
  3. The image uploads and displays as a preview Photos help customers recognize staff and add a personal touch to your booking experience.

Selecting Services

Choose which services this staff member can provide:

  1. All available services are listed
  2. By default, all services are selected
  3. Uncheck services they don't offer
  4. Only checked services will be bookable for this staff member

Job Titles (Optional)

Assign job titles to indicate their role:

  1. Click the job titles section
  2. Select from existing titles or create new ones
  3. Titles appear as colored tags on their profile

Completing the Setup

Once you've filled in the details:

  1. Review the information
  2. Click Add Staff (or similar submit button)
  3. The staff member is created
  4. They automatically inherit your location's availability schedule

What Happens Next

When you add a new staff member:

  1. Availability is copied — They receive a copy of your location's schedule
  2. Services are linked — Selected services are assigned
  3. Profile is active — They're immediately available for bookings
  4. Index is updated — They appear in your staff list

After Adding Staff

You may want to:

  • Customize their schedule — If their hours differ from location hours
  • Adjust services — Fine-tune which services they offer
  • Add more details — Update their bio or photo later

Adding Multiple Staff

If you're setting up several staff members:

  1. Add each one individually
  2. Use the same process for each
  3. Customize schedules after all staff are added

    💡 Tip: Add staff before your AI agent goes live so bookings can be made immediately.
