Each staff member can have their own weekly schedule. This article explains how to set recurring weekly hours for individual staff.

Staff Schedule vs Location Schedule

When you add a new staff member, they inherit your location's hours. However, staff can have different schedules:

  • Part-time employees working fewer days
  • Specialists with specific shift hours
  • Staff with different start/end times

Accessing Staff Weekly Hours

  1. Navigate to Staff in the sidebar
  2. Open the staff member's profile
  3. Go to the Availability tab
  4. Select Weekly Hours

Configuring Weekly Hours

The interface works the same as location hours:

Adding Time Slots

  1. Find the day you want to configure
  2. Click + to add a time slot
  3. Set start and end times
  4. Repeat for additional slots

Setting Closed Days

To mark a day as unavailable:

  1. Find the day
  2. Remove all time slots, or
  3. Use a closed/unavailable toggle if available

Multiple Slots Per Day

If staff have split shifts or breaks:

  • Morning: 9:00 AM - 12:00 PM
  • Afternoon: 1:00 PM - 5:00 PM Add each period as a separate slot.

Common Staff Schedules

Full-Time (5 Days)

  • Monday to Friday: 9:00 AM - 5:00 PM
  • Saturday and Sunday: Closed

Part-Time (3 Days)

  • Monday, Wednesday, Friday: 10:00 AM - 4:00 PM
  • All other days: Closed

Weekend Specialist

  • Saturday and Sunday: 10:00 AM - 6:00 PM
  • Weekdays: Closed

Evening Shift

  • Monday to Friday: 4:00 PM - 10:00 PM
  • Weekends: Closed

Saving Staff Availability

After making changes:

  1. Click Update Availabilities or similar save button
  2. Wait for confirmation
  3. The new schedule is active Remember to publish availability changes for your AI agent to use them.

How Staff Hours Affect Bookings

When a customer books:

  1. System checks staff's weekly hours
  2. Applies any date-specific overrides
  3. Only offers times when staff is available If no staff is available, that time slot isn't offered.

Inheriting Location Hours

If you want staff to follow location hours exactly:

  • Don't customize their individual schedule
  • Any changes to location hours automatically apply Once you customize staff hours, they stop inheriting location changes.

Resetting to Location Hours

To return staff to location hours:

  1. You may need to delete custom hours
  2. Or recopy location hours to the staff member
  3. Check your options in the staff availability settings

Best Practices

  1. Set once, update as needed — Configure schedule during onboarding
  2. Use location hours when possible — Only customize when truly different
  3. Communicate changes — Inform staff of schedule changes
  4. Plan ahead — Set schedules before the week starts
