A Booking Isn't Showing on the Calendar

If a booking you expected to see isn't appearing in the Booking Calendar, here are the common reasons and how to check each one.

Check the date view and filters

The booking calendar shows bookings based on the selected date and any active filters. Before investigating further:

  1. Make sure the calendar is showing the correct date (check the date selector at the top).
  2. Check if any status filters are applied — if "Confirmed" is deselected, only other statuses will show.
  3. Try switching between Day, Week, and Month views to see if the booking appears in a different view.

Check the correct location is selected

If you manage multiple AI receptionists (locations), make sure the active location in the dashboard matches the location the booking was made for.

Use the location switcher to check each location. Bookings are associated with the location the AI receptionist belongs to.

The booking may be cancelled

Cancelled bookings remain in the system but may not display prominently on the calendar. Look for a filter to show "Cancelled" bookings. If the booking was recently cancelled (by the AI or manually), it won't appear as an active booking.

The booking was made for a different date

If the caller asked for "next Saturday" and the booking was made one date off, the booking exists — just not where you expected it. Search the calendar for the name or phone number of the customer.

Check the Customers section

Go to Customers and search for the customer's name or phone number. If a booking was made for them, it will appear in their customer record even if it's hard to find on the calendar.

The booking might not have been confirmed

If the AI's booking flow was interrupted (e.g. the caller hung up before the AI confirmed), no booking would have been created. There's no partial booking — the booking is either created (and confirmed) or not.

Check the Conversations section for a call record around the time in question. The transcript will show whether the booking was completed.

💡 Tip: If you're expecting a booking from an AI call, always cross-reference with the Conversations list. You can read the transcript and confirm the booking was finalised, or identify where the conversation ended before completion.
