Booking FAQs

Can customers cancel a booking through the AI? Yes. Customers can call your AI receptionist and ask to cancel their booking. The AI looks up their booking by phone number, confirms the details, and cancels it. The booking is marked as cancelled in your dashboard.


Can the AI take bookings after hours? Yes, if configured to do so. You can allow the AI to take bookings outside business hours. This is useful for restaurants where customers plan ahead or service businesses where appointment slots fill quickly. See Letting the AI Take Bookings Outside Hours.


Why is the AI saying no availability when there should be slots? Common causes:

  • Operating hours aren't configured correctly (time zone, opening/closing times).
  • All tables or staff are booked for that period.
  • The date is marked as a holiday closure or date-specific closed day.
  • The party size exceeds the maximum allowed.

Check your hours, tables/staff configuration, and any date-specific closures.


Can I set a maximum party size for phone bookings? Yes. Configure the maximum party size in your Booking Page settings. This applies across all booking channels including the AI.


How do I stop the AI from taking bookings for a specific date? Add a date-specific closure in AI Receptionists → [Your AI] → Hours → Date-Specific Hours, or toggle the relevant holiday in Hours → Holiday Closures.


Where do AI bookings appear? All bookings made by the AI appear in your dashboard booking calendar immediately after they're confirmed. They show the source as "Voice AI" so you can identify them.


Can customers book with a specific staff member through the AI? Yes. If a customer mentions a staff member by name, the AI checks that person's availability and books with them if possible. See Picking a Specific Team Member on Call.


What happens if the AI double-books? Double-bookings are rare but can happen in high-concurrency situations. If it occurs, resolve it manually in the dashboard by contacting one customer to rebook. See Avoiding Double-Bookings.
