Connecting Google Calendar writes your Speako bookings straight into a Google Calendar you own, so your team sees appointments in the calendar they already live in. Each location syncs to its own calendar, and bookings stay in step automatically when they're rescheduled or cancelled.
๐ก Rolling out: The Google Calendar integration is being rolled out gradually and may not be enabled on your account yet. If you don't see it under Integrations, it's on its way.
Before you start
You need:
- A Google account that owns the calendar you want bookings written to. Speako only writes to calendars you own โ shared calendars where you're just an editor won't appear in the list.
- Permission to connect third-party apps. If your business uses Google Workspace, your administrator may need to approve Speako first.
๐ก Note: Connect the Google account that owns the target calendar. If you connect a different account, the calendar you're expecting won't be in the picker.
Connecting your Google account
- Go to Dashboard โ Integrations.
- Under Calendar, click the Google Calendar card.
- Click Connect Google.
- Sign in with Google and review the access Speako is asking for:
- See the list of Google Calendars you're subscribed to โ so Speako can show you a calendar to choose from.
- See, create, change and delete events on Google Calendars that you own โ so Speako can add, move, and remove booking events.
- Approve the request.
You'll return to Speako, where the card shows Connected as your Google address with a Connected badge.
Choosing a calendar for each location
The Calendar sync card lists every active location with its own dropdown. For each one, pick the Google Calendar its bookings should be written to. Your main calendar is marked (primary).
Locations are set to โ Don't sync โ until you choose a calendar, so nothing is written anywhere until you decide. You can set this back to โ Don't sync โ at any time to stop syncing that location.
Each change saves as soon as you pick it, and you'll see a Calendar sync updated confirmation.
๐ก Tip: With several locations, create a separate Google Calendar for each one and assign them individually. Everything is easier to read that way, and staff can subscribe to just their own location.
What gets synced
Once a location has a calendar assigned:
- New booking โ an event is created on that calendar.
- Rescheduled booking โ the same event moves to the new time, so nothing is duplicated.
- Cancelled booking โ the event is removed from the calendar.
Speako only touches the events it created for your bookings. It does not read, change, or store the contents of your existing calendar events.
If your connection expires
If Google access lapses โ a changed password, revoked access, or an administrator policy โ the card shows a Needs reconnection badge and the message "Your Google connection expired. Reconnect to pick calendars again."
Click Reconnect and sign in again. Your per-location calendar choices are remembered, so syncing resumes where it left off.
โ ๏ธ Important: While a connection needs reconnection, new bookings are not written to Google Calendar. Reconnect promptly so your calendar doesn't fall behind.
Disconnecting
On the Google Calendar page, click Disconnect, then Confirm.
Disconnecting:
- Withdraws Speako's access at Google, so it can no longer see or change anything in your account.
- Deletes the stored connection and all of your per-location calendar choices from Speako.
- Stops all booking sync immediately โ and turns off Google Meet links, which depend on this connection.
Booking events already written to your calendar stay there. They're on your calendar, under your control, and you can edit or delete them in Google as you wish. If you reconnect later, you'll need to choose calendars for your locations again.
