Connecting Zoom lets Speako create a Zoom meeting automatically for every online booking and pass the join link to your customer. Meetings are created on your own Zoom account, and Speako keeps them in step when a booking is rescheduled or cancelled.

๐Ÿ’ก Rolling out: The Zoom integration is being rolled out gradually and may not be enabled on your account yet. If you don't see it under Integrations, it's on its way.

Before you start

You need:

  • A Zoom account that will host the meetings. Every meeting Speako creates is scheduled on this account.
  • Permission to authorize third-party apps. On a managed Zoom account, your administrator may need to approve Speako first.

๐Ÿ’ก Note: The Zoom connection is business-wide. One Zoom account serves all of your locations, unlike Google Calendar which is chosen per location.

Connecting your Zoom account

  1. Go to Dashboard โ†’ Integrations.
  2. Under Calendar, click the Zoom card.
  3. Click Connect Zoom.
  4. Sign in to Zoom and review the access being requested. Speako asks only for what it needs to manage your booking meetings:
    • View your user account โ€” to confirm which Zoom account is connected and show it in your dashboard.
    • Create meetings โ€” to schedule a meeting when a customer books.
    • Update meetings โ€” to move that meeting when a booking is rescheduled.
    • Delete meetings โ€” to remove it when a booking is cancelled.
  5. Click Allow.

You'll return to Speako, where the card shows Connected as your Zoom account with a Connected badge.

Speako does not access, list, or read your other Zoom meetings, recordings, chat, contacts, or account settings. It only manages the meetings it creates for your bookings.

Setting a service to use Zoom

Meeting links are decided per service, so you can run some services in person and others over Zoom.

  1. Go to Dashboard โ†’ Services and open the service you want to change.
  2. Find How is this service delivered? and choose Online meeting โ€” "A video link (Google Meet / Zoom)".
  3. Under Meeting provider, choose Zoom.
  4. Save the service.

If Zoom isn't connected yet, the provider button is greyed out with a Set up Zoom โ†’ link that takes you to Integrations.

What the customer gets

When someone books an online service set to Zoom:

  1. Speako schedules a Zoom meeting on your connected account.
  2. The join link is saved on the booking and included in the customer's confirmation.

One booking creates exactly one meeting.

If the booking is rescheduled, the existing meeting moves to the new time and the original join link keeps working โ€” a customer who saved the link doesn't need a new one.

If the booking is cancelled, the meeting is deleted from your Zoom account and the link stops working, so no unused meetings pile up.

Troubleshooting

The Zoom provider button is greyed out. Zoom isn't connected. Go to Dashboard โ†’ Integrations โ†’ Zoom and connect.

A booking has no join link. Check the service is set to Online meeting with Zoom as the provider. Services set to At our location or We travel to the customer don't generate links.

The card shows Needs reconnection. Your Zoom authorization has lapsed โ€” usually a changed password, revoked access, or an administrator policy change. Click Reconnect and sign in again. While in this state, new bookings won't get Zoom links.

Meetings appear on the wrong Zoom account. Speako uses whichever account you signed in with. Disconnect, then reconnect with the account that should host your meetings.

Disconnecting

On the Zoom page, click Disconnect, then Confirm.

Disconnecting:

  • Withdraws Speako's access at Zoom, so it can no longer create, change, or remove anything on your account.
  • Deletes the stored Zoom connection and its access tokens from Speako.
  • Stops Zoom links being generated for new bookings straight away.

Services set to Online meeting with Zoom will keep taking bookings, but those bookings won't carry a join link until you reconnect or switch the service to Google Meet.

Meetings already created stay on your Zoom account and remain usable โ€” they're yours, and Speako no longer has any access to them. You can reconnect at any time.
