Managing the Holiday Calendar

Your holiday calendar is a record of which public holidays and closure days your business observes. Keeping it accurate ensures your AI receptionist gives callers the right information on the days you're closed.

Accessing the holiday calendar

Go to AI Receptionists → [Your receptionist] → Set Availability → Holidays & closures.

The page shows a list of public holidays for the current calendar year, each with a toggle indicating whether that day is marked as a closure.

Reviewing and updating the list

At the start of each year (or whenever your trading pattern changes), run through the holiday list and confirm each toggle is set correctly for your business:

  • Turn a toggle on if you close on that day.
  • Turn a toggle off if you stay open on that day.

Pending changes are held until you click Save Changes in the banner at the bottom. The save confirms your settings and shows a Holiday settings updated successfully toast.

The master switch

The Holiday closures card has a master switch at the top. This controls whether the holiday closure feature is active at all:

  • On — the individual holiday toggles are active. Days you've marked closed will be treated as closures.
  • Off — all holiday closures are suspended. Even if individual holidays are toggled on, the AI ignores them and uses your standard weekly schedule on those dates.

Use the master switch to quickly suspend holiday closures without losing your individual settings — useful if you have an unusual trading year (e.g. staying open across a usually-closed holiday period) and want to reinstate your normal settings later.

Holidays not in the list

The system provides public holidays based on your location's region. If a locally observed holiday or a business-specific closure day isn't in the list, use Date-specific hours to manually add a closed day for that date.

Multi-location considerations

Each location has its own holiday calendar. If you have multiple AI receptionists (locations), you'll need to update the holiday settings for each one separately. Changes to one location's holiday calendar do not affect others.

💡 Tip: Set a calendar reminder for yourself at the beginning of each year to review the holiday calendar for all your locations. A few minutes of checking can prevent the AI from turning away callers on days you're actually open.

⚠️ Important: Unsaved changes to the holiday toggles will be lost if you navigate away before clicking Save Changes. Always look for the banner before leaving the page.

Effect on the AI

When the AI answers a call on a marked holiday, it follows your after-hours call handling — which includes your after-hours greeting, and any restrictions on taking bookings outside normal hours based on your AI configuration.
