Date-specific availability lets you override a team member's normal weekly hours for particular dates. Use it for holidays, special opening days, one-off schedule changes, or any date where the normal pattern should not apply.
Open the team member, go to Working Hours, then choose This location โ Date-specific hours.
When to use date-specific hours
Use date-specific hours when the change is tied to a date:
- a provider is available for extra hours on one day
- a provider is leaving early on a specific date
- a holiday affects one team member
- a temporary closure should apply only to selected dates
- a special event creates unusual availability
Do not use date-specific hours for a normal repeating pattern. Use Weekly hours for regular weekly schedules.
Adding an override
Select Add override. Choose one or more dates, then add the time slots that should apply to those dates. Speako groups consecutive dates where appropriate so related overrides are easier to review.
If you save an override with no working time slots, it can act as a closed day for that team member.
Editing and removing overrides
Existing date-specific settings appear in the list under the current year. You can edit an override or remove it. After changes, save so Speako can apply the new date-specific availability.
If you remove all overrides and save, Speako clears date-specific availability for that team member.
Validation and conflicts
Speako checks for overlapping slots and invalid time ranges. If an override conflicts with existing availability, fix the times before saving.
๐ก Tip: Use date-specific hours sparingly. If you find yourself adding the same override every week, change the team member's weekly hours instead.
How this affects bookings
Date-specific availability takes priority for the dates it covers. That means it can open a day that is normally closed, shorten a normal day, or block a provider from appearing available.
For the AI Agent and online booking, this helps prevent customers from booking a team member who is unavailable on a known exception date.
After adding an important override, test the affected service and date in your booking flow. This is the quickest way to confirm customers will see the intended availability.
